This policy explains what personal data Vitalforce Pharma B.V. collects through this website, why we collect it, how long we keep it, and what you can ask us to do with it.
Who we are
Vitalforce Pharma B.V., Grindweg 82, 3055 VD Rotterdam, the Netherlands, is the controller of the personal data described in this policy. You can reach us at [email protected] about anything on this page.
We are a sourcing and distribution partner for supplement producers: capsules, softgels and tablets, raw materials and excipients, and pharma equipment. The personal data we handle through this website is almost entirely business contact information from people enquiring about supply.
What we collect
What you send us. When you use the contact form we collect your name, email address, and the company name, phone number and message you choose to add. When you subscribe to our newsletter we collect your email address.
What your browser sends. Like any website, ours receives your IP address, browser and device type, the pages you visit and the page that referred you. This is used to keep the site working and secure, and to understand which pages are useful.
What cookies record. Our cookie policy describes these separately, including how to refuse the ones that are not necessary.
We do not ask for special category data, and we ask that you do not send any: this is a business enquiry form, and it is not the place for health information about yourself or anyone else.
Why we use it, and on what basis
To answer your enquiry and to quote for supply. Our lawful basis is that processing is necessary to take steps at your request before entering into a contract, and where you are enquiring for a company, our legitimate interest in responding to business enquiries.
To send our newsletter. Our lawful basis is your consent, which you give by subscribing and can withdraw at any time using the unsubscribe link in every email.
To keep the site secure and working. Our lawful basis is our legitimate interest in preventing abuse and in keeping our own service available.
To understand how the site is used. Where this relies on cookies or similar technology that is not strictly necessary, our lawful basis is your consent, given through the cookie banner.
Who we share it with
We do not sell personal data and we do not share it for anyone else’s marketing.
We use service providers who process data on our behalf and only on our instructions: our website host, our email and newsletter provider, and the analytics provider we use if you have accepted analytics cookies. Each is bound by a data processing agreement.
Within the Vitalforce Group we may pass an enquiry to the division best placed to answer it, and we will tell you when we do. Where a quotation depends on a supplier, we share only what the supplier needs to price it.
We will disclose data where we are legally required to, and to our professional advisers where necessary to establish or defend a legal claim.
Where it goes
We prefer providers who process data inside the European Economic Area. Where a provider processes data outside it, we rely on the European Commission’s standard contractual clauses or on an adequacy decision for that country, and we can tell you which applies to a given provider on request.
How long we keep it
Enquiries. We keep the correspondence for as long as the conversation is live, and for two years afterwards, so we can pick up a supply request that comes back. You can ask us to delete it sooner.
Newsletter. We keep your email address until you unsubscribe, and a record of the unsubscribe itself so we do not contact you again by mistake.
Customers. Where an enquiry becomes an order, the records that go with it are kept for as long as Dutch tax and company law requires, which is seven years for most of them.
Server logs. Kept for a short period for security and diagnostics, then deleted.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to correct it if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent you can withdraw it at any time, which does not affect anything we did before you withdrew it.
Write to [email protected] and we will respond within one month. There is no charge.
If you are not satisfied with how we have handled your data you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, or to the supervisory authority in the country where you live.
Keeping it safe
The site is served over an encrypted connection, access to enquiry data is limited to the people who need it to do their work, and our providers are chosen on their security posture as well as their price. No system is perfect, and we will tell you and the regulator if a breach ever puts your rights at risk.

We update this policy when what we do changes. The date at the top tells you when it last changed, and material changes will be announced on this page.
